Question

How can I DISABLE Printing on documents within a specific folder?

asked on July 15, 2015

I have an AD group that is READ-ONLY; I have set the Feature Rights to "Search" only. Then, the folder Access Rights are set to "Browse" and "Read" only.  If this was the only folder the users has access to it works.

But, some of the users are in a second Read-only group on other folders in this Repository that allows Read and Printing.

How can I restrict them from printing on this 1 Specific folder? Is this possible?

Thanks, Robin

Hi Robin,

The 'Print' feature right is repository-wide. If the user has 'Print' at all, than they'll be able to print anything that they can view. Could you describe the scenario where you want the user to be able to see but not print items within this particular folder? Thanks!

Justin,

We have a set of documents that for Legal purposes are only allowed as View only and are not allowed to be re-printed.  These will reside in one main folder by year.  I thought if I had a specific AD Group that I could allow only Search rights to that it would keep them from being able to print. But, as you said above if they have Print anywhere else then they can print.  We are also going to add a Stamp to each that says something like "For Internal Use Only" or "Do Not Print".

As for the stamp idea, we are in the process of purchasing QF Complete (we currently have Core), can Workflow add this Stamp until I get QF Complete?

Any other suggestions?

I looked up the Tag Watermarks and we are going to Tag the documents as DO NOT PRINT.  I think this will work for us for now.

Thanks!
