Question

Direct Approval with Participants - Can't view document

asked on June 30, 2015

I have a form that needs to be approved or denied after it has been submitted.

I get the email and I can approve/reject it from the email but I am not able to view the document until after the document has been approved.

I get:

You do not have permission to perform this action.   When clicking on "Click here to open this task in Forms."

Once I send the Approve email, I can view the document just fine from the URL in the email.

Am I missing something?     Is there not a way to just attach a copy of the document so the Participant user can actually look at the form before sending the Approve/Deny email?  Surely you don't have to be a participant and named user to View and Approve a document?  I am a Process Admin and it still won't even let me view the form until approved?

This sounds really familiar with another post I remember reading a while ago, but I am unable to find it. I'm not sure if there was ever a solution for the problem though. There is currently not a way to create a PDF or a TIFF and attach it to an email inside of Forms (it is a feature request though). The other way of accomplishing this though is when configuring the email notification for the user task, insert all of the information into the body of the email that the user will need to know in order to make their decision.

Yeah I was hoping that wasn't my only option.   It seems very silly to me that we have the ability to approve/reject from email but no way to easily view the form we would be reviewing...

I guess I should add that I do see it in LaserFiche after being submitted, and before I approve it.

Hi Kerzi,

For the error "You do not have permission to perform this action", it looks strange so can you help confirm the issue?

When opened from the email link, did you login the Forms site with the user that the task was assigned to? If you were using the approver account, can you find the task assigned to the user on inbox page and see the content?

The task approver should be able to see the task content. But for Forms 9.2, if the current login user is not task approver, you won't be able to see it. And process admin can only see the task content of completed user tasks.

For Forms next release it would be different with new feature that support process admin to reassign tasks.
