Question

Preventing printing of specific documents based on template

asked on June 5, 2015

Hi, We have scenario were we need to prevent a certain group of users to not have the ability to Print or Export certain documents on a specific template, but they need to be able to Print Export other documents on another template they have access to. When Our processes originally started, the specific Group of user only had one Template they worked with so we could exclude the Assigned Feature Right for Printing and Exporting. But as business has evolved, some of the users in this group now belong to a different processes where they have access to a 2nd template, which they do require the Print and Export Access right.

So practically we have Group A and Group B. Group A has the Feature right excluded and has Access to Template A. Group B has the feature right selected and has access to Template B. We now has users that need to belong to both Group A and B, but this results in those people having the ability to Print and Export documents on Template A, which they are not supposed to.

Is there any way to achieve this?

Feature rights are applied globally, they are not applied on a per document basis.

So it's an all or nothing proposition, unfortunately. If you give them the feature because they can do it on Group A templates, they also get to do it on B, C & D.

There's only two ways I can think to correct this:

1. Different usernames for each.

2. Different Repositories for each type.

You could record those in audit trail and try the "Fear of God" approach by monitoring who is doing what and coming down hard if they do.

How about having 2 folders representing Group A and Group B, then create 2 LF groups that will represent Group A and Group B.  Give the appropriate feature rights to the LF groups.

Cons: you will have duplicate documents if the documents needs to be on the 2 folders. This might be fixed with document links.

Thanks for the replies.

Unfortunatly none of the suggested solutions are possibilities we would want to persue for our environment and purpose.
