Question

Using Workflow to Convert record folders into document folders?

asked on June 2, 2015

One of our areas has created record folders for individual applications that have been assigned names containing the year they were received (eg. "FOI 2014-45"). They were not always created using this naming convention, so the list of folders within the series has become a rather extensive jumble, making it necessary to scroll quite a bit to locate folders.

The group would like to combine each year's applications under a single record folder. Using Workflow to move a record folder under another record folder will convert it to a document folder, however, I'm not sure the activity was meant to be used in this fashion. Could doing this 'break' anything?

Input would be greatly appreciated.

Thanks!

Any folder created in the root of a record series becomes a record folder. If you move it lower in the tree or out of the record series, it becomes a regular folder. Workflow does not do anything special, the Laserfiche Server takes care of that. So, yes, it's fine to use the Move Entry activity for the "conversion".
