Question

Can Quick Fields extract information from original file name?

asked on May 18, 2015

This is my first project with Laserfiche and Quick Fields so please excuse any misconceptions or errors as a result of my inexperience. I'm trying to learn as much as I can but the sheer volume of information is a bit overwhelming.

I am trying to set up a session to be run on folders that contain three types of documents: meeting agendas, staff reports, and staff report attachments.

The agendas have been pretty straightforward in their processing because their format is standardized and I have been able to set up Zone OCRs to get what I need.

The other types of documents are where I'm hitting a wall.

Most of the identifying information that I would like to use to classify the document and populate metadata is found in the file name and not within the document itself. Is there a way to extract that information and have QuickFields use it to populate metadata? Or classify the document to set off certain processes?

Example File Name: Staff Report Veterans Park Parking Lot Awarded Sturgeon and Sons- mj

From this I would like to pull out and populate to metadata as follows:

Document Type: Staff Report

Agenda Item: Veterans Park Parking Lot Awarded Sturgeon and Sons

Submitter: MJ

Hi Brittney,

The original name of your documents is available as the "Name" token (see here for the list of all standard tokens that are available).

The trickier part here will be telling Quick Fields how to determine which parts of that file name refer to the Document Type, which refer to the Agenda Item, and which refer to the Submitter. To do this, you'll want to read about pattern matching

Thank you Tessa! I am getting familiar with Pattern Matching so I will work on that! Just good to know this is possible.
