Workflow to eliminate all rights on a document

asked on May 5, 2015

Hi all,

I have a folder which is read-only and the document within the folder is read-only. But, annotations can be added to the document.

Is it possible to eliminate all rights on a document and make it read-only (i.e no rights to modify the metadata and adding annotations) through workflow creation?

Thanks to revert back.

Kind Regards,

Sheila

Sure is!

Here's a workflow that searches the repository for files to act on and then sets entry owner (optional) and assigns rights for each discovered file.

The assign rights activity can do any action you can do manually. In your case, Remove all rights except Browse and Read for the specified trustees.

In most cases, it's often easier to remove all rights and then use a separate activity to add them back.

The tricky part is telling the activity which trustees to apply the rights to.

Cheers,

Carl

Hi all,

Thanks for the reply.

My actual scenario already in place at my client's place is as follows:

I already have a folder structure whereby a group of trustees has already been assigned with access rights.

Is there a possibility to take the existing trustees in a  folder and remove all access except Browse and Read?

Thanks

Kind Regards,

Sheila
