Question

Security in Repository

asked on April 28, 2015

Is it possible to have some one not see the document in the repository but they can see only the metadata. Is it possible to restrict access to this level please?

Thanks

Priya

Yes, this can be done. The user would need to have browse and read rights at the entry level (i.e. the access rights configured in the Client) but you would then deny the user the "Read" access right at the volume level. That way, the user can view the document metadata but they won't be able to see the images/text.

Thanks Alex. What rights do we need to assign if we need the user to edit the metadata but not see the images/text please.

Thanks

Priya

Giving the user the "Write Metadata" access right should suffice.

Note that entry access rights can still be configured however you'd like. That aspect won't change. As long as you modify the volume security, then you can prevent the user from actually seeing the images/text while still being able to do other things with the document normally.

Alex,

If I try whatever suggestion that you have mentioned, will that person not be able to see the image for any document in the repository please? We want to restrict that person to this access level for some folders and documents and not the whole repository. Please let me know.

Thanks

Priya

When you modify volume security for the user in question, it will affect all documents that reside in that volume, regardless of where they are located within the repository itself.

You may want to review this white paper regarding best practices when working with volumes. I'd also recommend reviewing this white paper regarding security best practices.

Ok, thanks. So is there not a way to limit at document/folder level to if a user can see only metadata and not text/image please?

No there isn't.

Ok, thanks. Is there a way to set up separate volumes for parts of repository and restrict access that way please?

The whitepapers provided should have the information you're needing for how to create and manage volumes. As for configuring certain folders and their documents to be in certain volumes, the most you can do for now is to set a default volume on the folder and subfolders and then configure new documents to use the parent folder's default volume. For existing documents, you can migrate them to the new volume.

At this point though, if you have further questions about this process, it may be beneficial to contact your Laserfiche reseller to work with them as they may be able to provide more direct assistance.
