Laserfiche Client/Template

Hi,

We have Laserfiche 9.

I have the below three questions:

  1. Can we show the fields' description in pop up messages (or something similar) for guiding people to  fill in index?
  2. Can we make index filling mandatory for any uploaded document?
  3. Can the LOVs in fields be folder specific?

Hi Mohamad,

1. Currently there are no pop up messages or tool tips available for filling out metadata. You could set the default value of the field to have a helpful tip though.

2. Yes, you can make any or all fields required. You can set whether or not a field is required from the Administration Console under 'Metadata Management'. Just click on 'Fields', double click on a field, and check the 'Required' box.

3. While you can't set folder specific list values, you should be able to take advantage of dynamic fields. Dynamic fields let you pull field values from a database, and even dynamically alter the list based on other fields of metadata. For more information, you can read more about dynamic fields here.

With respect to the second question, I meant when importing documents to Laserfiche, can the indexing (selecting a template and filling the fields) be mandatory.

Currently, a user can import a document without selecting a template even if the fields are required.

Does Laserfiche intend on adding a feature to make template filling mandatory? This is pretty essential to proper records management and to ensure your finding the records that exist.

Hi LF and Mohamad,

I'd like to bump this one up. Mandatory indexing (mandatory assignment of Templates) is a requirement that comes up a lot. I'd like to be able to control folder location and document names, done though metadata of course, and presently the only way I've found to ahicheve this is:

1. Create an "unfiled location" (such as Staff folders) and bug the users until they index the documents. The users are prevented from creating under the structured folders.

2. Allow creation of document under the structured area but have workflows enforce inheritance of metadata (I'm aware of field defaults upon document creation but workflow are more reliable and work if the document is moved or the wrong template or metadata has been assigned)

3. A combination of 1 and 2, which increases the system complexity.
