Question

Desktop Scanner that allows metadata

asked on April 6, 2015

I am looking for a desktop scanner that will scan documents directly into laserfiche. The stipulation i am looking to is that its allows for metadata input that fills out a template already set up in the repository.

Another option is to have it output a .LST file that you can somehow format properly and putting the files into a network drive that the Import Agent can pick up.

I am more looking to see if this is possible easily and if so which machines are capable of doing this.  We currently use big Ricoh units with GlobalScan but are looking into a desktop setup for certain users.

Thanks.

There are few integrations in the Document Capture and Distribution section of the Integration Marketplace that you may find useful.

Alternatively, your suggestion about using Import Agent and list files (XML or LST) will work. Sample list files can be found in Import Agent's program files (default location is C:\Program Files (x86)\Laserfiche\Import Agent\List File Examples).

Looking into things.

Does the Bolt Direct for the Fujitsu fi-6010n and n1800 network scanners. Allow for metadata insertion into templates within laserfiche?

If I am reading your question correctly, you want to be able to read/pull the metadata from the scanned page.  If this is what you are looking for, then you need to look at Quick Fields with Zone OCR and/or Barcode.  Or if all information is in text on the page, you could use pattern matching in Workflow to extract the information from the OCRed page.

What needs to be done is on scan the user inputs 2 fields on the Desktop Scanner, then scans the page(s), those 2 fields get entered into metadata fields in a template and the document is placed into the repository with that metadata.

We currently use GlobalScan on big Ricoh devices to send to a back-end server thats picked up by Import Agent, but are looking into Desktop Scanners to see if we can get something similar done.

Would Laserfiche Scanning suit your needs? It's the scanning application that comes with the Laserfiche Client suite. It works well with desktop scanners using either a TWAIN driver, ISIS driver (via ScanConnect), or Kofax VRS. It allows for scanner operators to scan in documents and input metadata field values which are stored directly into the Laserfiche repository.

Bert's suggestion of using Quick Fields is recommended when you want the process to be more automated.

Been looking into many options. Is "Laserfiche Scanning" installed directly onto the desktop network scanner? Also how does it place things in the repository,or does it just going to a pre-set folder and would need to use QF or WF to move it afterwards?

Laserfiche Scanning is a computer desktop application. If you want to scan something:

1. Open Laserfiche Scanning and press scan (you can link your scanner to Laserfiche Scanning using the drivers Alex mentioned).

2. Image will show up in Laserfiche Scanning. You can apply image enhancements, specify path, metadata, rename entry, etc. More information about Scanning can be found here.

3. Once done, you can store the document into Laserfiche.

If you are looking for more automation then Quick Fields is the product to consider.

What we are looking for is to have a network scanner and no computer whatsoever involved in the process. More just looking to see if its is possible to even do this.

-DESKTOP Network Scanner

-Metadata Input

-Imported to Laserfiche into a certain template

Does your current scanners allow you to fill out your own metadata and push those values as a list file (or some file containing the data that can be pattern matched out)? If so, Import Agent and Workflow should allow you to achieve what you want.

Import Agent monitors a network folder and documents stored there (e.g. from a scanner) will be pushed into a specific folder in Laserfiche. If there is a list file containing metadata, then Import Agent will attempt to apply the metadata. Depending on the complexity of what you are doing, you could combine Import Agent (stores the document into Laserfiche) with Workflow (configure the document as required).

If you want a specific integration for desktop scanners, check out the different connectors available in the Integration Marketplace.

Hope that gives you a few more ideas!

We currently only have desktop scanners that go to someones computer. We are looking into getting ones with the ability to enter metadata and have it either import into laserfiche or create a .lst and move it to our Import folders (which we use for big ricoh devices).

Everything is currently in a planning stage that we are trying to iron out the details of what we can do.

Hi Kevin,

We've developed an integration with the Canon Scanfront 330 that should meet your needs, please see our video demo on YouTube:
