Setting Termination Date

If I set an event date or termination date for a records folder under personnel folder in the records series, will it get applied to automatically to all the records folder in the record series when using Transparent Records Management please? Or should I have to have to workflow to set the date in all of the folders in the series please? Please help.

Hi Priya,

When a records management action is taken on a record folder, such as setting an event date, the action is applied to the record folder and all of its contents. This means that the event date will be reflected in all of the documents beneath the record folder without requiring the use of workflow.

In Transparent Records Management all original copies of records are kept in records folders and access to them is provided in other areas of the system using shortcuts. Because the originals are still kept in the record series, any records management action will be taken on all the selected records, even if pointers to them exist elsewhere in the repository.

From your question I am not entirely clear on what you are envisioning. Let's take the following example, with a record series with an event type cutoff. This record series contains three record folders. 

Are you asking how to make it so that when you set the event for Test3 the same date is also set for the record folders Test2 and Test? If so, that is not how record folders are designed. Content that should have the same event date should be grouped under the same record folder, allowing you to take action on that group of content as a whole without necessarily impacting the other record folders in that record series. If you happen to come across an exception where multiple record folders have the same event date then you can multi-select the folders and set their event date together, but this is often the exception and not the norm.

  Thanks. Assume that Test3 has shortcuts. I am asking that if I set the event date for Test3, will it be set for all Test3 folders in the repository where the actual document is stored. I understand that it will be set for all the shortcut files inside Test3. But will it be set for all the Test3 record series in the repository please?

To take a records management action on a record, such as the setting of an event date, the action must be taken on the record folder that houses the original copy of the record in question. Once this is done the action will impact all original files within the folder and any shortcuts to those originals. File shortcuts placed within a record folder will not be impacted by a records management action unless that action is taken at the original file's location.

Thanks. I have original documents in a Record Series folder named "A". I set the event date for this records series folder to April 7, 2015. When I go to the Record Series folder named "A" under "Personnel Folders" that has the short cuts, the event date is not set for that. Why is that please?

  Never mind, I got what you are saying. It is setting the event date on the short cut document instead of the record series. I understand now. Thanks for your help.
