Adding Participants to Forms

Hi there,

 

I'm installing a new forms server with the portal.  I see in Directory Server on the summary page that I have a bunch of authenticated participants available with 0 being used, and a forms portal, but when I install Forms and point it to the Directory Server it always says 0 Participants Available (though it does see the Forms Portal license).  I've tried to re-activate with the license key which is successful, but still comes back with 0 participants. I've even gone through the install but I end up with 0 Total Participant Licenses so I can't assign any to anyone.

It's weird because Directory Server does show me a bunch available.  We don't seem to be having any other issues with license counts.

Am I missing something?

To follow up: a fix has been made, and if you try to renew your master license in about an hour and a half, it should work.

Note that this should not be an issue with licenses in general; the number of problematic licenses appears to be very small and the known problematic licenses were fixed simultaneously.

Hi Shaun,

I see an issue with your Rio master license that is preventing Forms from knowing about the authenticated participant licenses available. I will update this thread after the matter has been resolved.

I have updated my master licence this morning and the advanced options still does not show up for me. What the?

Open a support case and provide a copy of the new master license that was downloaded. We need to confirm the validity of the license file.

Ok, I will get a copy of the original order and send it in with the master license. Assuming the order looks correct once I see it.

To assign participant licenses in Directory Server, you need to click on "Advanced Options"

You should then see the following:

 

If you don't see that when you click advanced options, please let us know. If you do see that section, does that work?

If not, I've two more questions for you:

  1. What exact version of Directory Server are you using?
  2. Are you using the "Organizations" feature?

I was able to reproduce this using Forms prior to 9.2.0 (which is when Directory Server was released). However, though the available shows as zero, it is able to correctly register any number of Authenticated participants up to your total available, and will include them in the license that it generates. If you type a number that is too high, you'll get an error message when you click next. It's not as convenient as in Forms 9.2.0+ where the display is correct, but you should still be able to license your Forms as you need.

Hmm.  I'm running Forms 9.2.1 (and DS 9.2), and when I try to add anyone (even a single user) I get a 'not enough licenses' message so I'm guessing it's something else on my end.   I actually upgraded from License Manager 8.3 to DS 9.2 today to see if that would fix it since it wasn't working on LM 8.3 either, but evidently the issue persists.

Just to confirm, did you actually allocate the authenticate participant users to the Forms Portal instance? They can't just exist on the license server, they also have to be assigned to the individual instance. It's like how repository named users work if you've done anything with that. Anyway, it wasn't 100% clear from your posting whether you had done that or not.

Hey Justin, that sounds like what the problem is, but I can't for the life of me figure out where to do that. If I go into the Applications area on DS and go to the Forms instance, I see that it has 1 Forms Portal assigned but I don't see anywhere to assign the participant licenses.

Hi Brianna,

 

I do not have that button on my forms screen, neither on the Edit version (below) or I tried registering a new instance of forms but it doesn't have that button either.  I'm running Laserfiche Directory Server 9.2.0.567.  I am not using the Organization feature, everything is assigned to '(Root)'.

Same problem. If the option is not there to begin with how will updating the master license help.

The issue for the OP was that their master license was missing a flag for the Forms product to use authenticated participants so that's why after we addressed the issue, the license database needed to be updated with a new master license.
