Question

Unable to delete unused retention schedules

asked on March 14, 2015

In hopes of aligning retention periods in Laserfiche with federal and provincial guidelines, we went ahead and created some new retention periods to apply to our folder structure.  Now that this has been done, to a certain extent, we are hoping to remove old retention periods we no longer need.

When trying to delete old retention periods in our repository, however, I'm presented with a message that said the specified retention period can't be deleted, because it's in use somewhere in the repository.  But when I go to conduct a search of the repository for any document/folder bound to any of these retention periods, no search results come up.

Can anyone think of any reason I'm unable to delete these old retention periods, despite the fact that they don't appear to be used anywhere in the repository?  Thanks, as always, to anyone who can help!

Hi Marty,

You will probably find that the documents which are being used in the repository are in the recycle bin, and this is also why they are not showing up in your search.

Hope this helps! smileyyes

That's exactly what it was.  We had a ton of documents in the Recycle Bin, and once we purged everything out of there, we were able to delete the old retention periods without any issue (funny these wouldn't show up in search results, but I can see why it was done this way).

Thanks for the quick response!

I am trying to delete retention schedules as well and getting the same message, however I have an empty recycle bin. Are there any other suggestions?

Thanks,

Amanda

If you can't delete a retention schedule, it's being used somewhere in the repository. You should be able to use the records management searches to locate the documents or folders that is using this retention schedule you are trying to delete.
