Question

Can I hide a form field from a task recipient?

asked on February 25, 2015

I have a form where the submitter may choose to remain anonymous and not provide their name if they wish. These submissions need to be reviewed by a task participant, regardless of whether the submitter wishes to remain anonymous.

However, I'd also like the submitter to have the option to enter an email address and receive a copy of their submission. But the task recipient can see the entire form submission, including the email field. This could potentially give away the submitter's identity if they have an email that's recognizable.

Is there a way for me to hide a field from the task recipient? I can't allow them to see the email field.

Thanks.

You would create a copy of the starting form and in the User Task for the first task participant assign them the newly created form. In that form, remove the email address and it will not show up for the person at that user task, but Forms will still have access to it in order to send out notifications.

Thanks Blake.

I tried that approach (copying the form, removing the offending question from the copied form, and re-assigning the user task to the new form) but the field still shows up on the submission from the tasked user's point of view.

Any idea what I might have done wrong?

So on form 1 (starting form) you should have all of the fields including the offending question. On form 2, you have deleted the field and in the Process Modeler assigned the user task to use form 2. As long as that has been done, it should work. You may want to pull up the forms in the Forms editor and click Preview to make sure.

Also, the second form (no email) is what shows up when I go to the published URL for the business process. That's not what I want - is there a way to specify which form is used at that URL?

In the Process Modeler you need to go double click the Start activity and there you can specify the "Starting Form".

I'm not sure what I had wrong initially - I had the starting form set correctly, etc. But it's working now.

Thanks again Blake!
