Question

Dynamic Metadata Fields

asked on February 10, 2015

Hello All,

I would like to create a template in Laserfiche that has dynamic metadata fields that, based upon selections made in the above fields, would change the fields below.  Is it possible for the fields to change in metadata.

I don't think this is possible within the client.  But you can do something like this via Laserfiche Forms.  with field rules.

Hi Christopher,

Are you asking about dynamic fields in the sense that for example, you have a field for State and a field for City and depending on the state that's selected in the State field, the City field will only show available values of cities in that selected state? If this is the case, then yes this is possible. See this help file about configuring dynamic fields.

Or are you asking about dynamic fields in the sense that values set in some field(s) actually control what other fields are accessible/visible in the template? For example, in the template, if [Field 1] is set to "Yes" then [Field 2] is displayed in the template, but if [Field 1] is set to "No" then [Field 2] is hidden or inaccessible and instead [Field 3] is available. If this is the case, then no this isn't possible through the Client.

If you can provide further context, that would be helpful.

Thanks for the response.  I was curious about having fields visible/not visible based on other field responses.  I see now that this is not possible in the client.  Thanks!

One way to get the job done is using Workflow.  Not done yet, but I'm planning on using Workflow to check every document that gets assigned the Land File template, look at the fields for the land location, then compare those against a spreadsheet in order to assign the Roll # field based on what land location was given.  Then I want WF to put a shortcut for the document into the matching Roll # file (for every piece of land in our municipality, there is a matching Roll #).

That way, anyone looking for information on any piece of land will be able to see all of the history, no matter which dept or how old the info is.

Good suggestion, Connie. If you leave those "dynamic" fields off of the primary template then you can have Workflow automate the process by reading the value from [Field 1] which is part of the template and then separately add [Field 2] or [Field 3] as independent fields to the document based on the value in [Field 1].
