Best way to merge 2 repositories

We have an offline server containing a repository for each year data, and now they are 5 repositories and we are on the way to create the sixth one, and this is very hard for maintenance and users privileges.

So what is the best way to merge 2 or 3 repositories together in one new repository ??

 

We have Laserfiche Server Rio 8.3

If we upgraded to Laserfiche 9, will it be easier ?

I would guess by briefcase.

Briefcasing out the files and folders in question is going to be your best bet. Briefcases carry files, folders, and metadata to the destination. If templates or fields are missing in the destination repository, Laserfiche will offer to create them for you (or you can choose an existent field to use instead). Workflow has an activity called "Replicate Entries" that can even automate the process for you. Select the activities you want to migrate (e.g. from a search activity), select the destination repository, and it'll handle the rest.

 

Note: if you're going to be moving records management objects, make sure to check the option in the Laserfiche Client to export records management data. If you don't, all of your records management objects will come across as folders, devoid of all cut-offs and retention rules.

Thanks Zachary, but what about Exporting Volumes and Attaching them to the new repository.

What will be the case regarding the templates and fields while attaching the 2nd repository volumes ?

Will it make a conflict or duplicating the metadata ?

Exporting and attaching a volume is very similar to briefcasing entries. You select a physical volume to export (logical volumes can't be exported), and Laserfiche packages up all the entries it contains with their folder structure intact. This includes metadata, and existing templates will be used if the template name (and potentially the field names) match. It won't bring over records management objects though. 

 

Something I forgot to mention earlier--neither briefcasing nor exporting volumes will retain security; you'll have to reapply it after importing the documents.
