Question

Is it possible to create a token based on the text in a sticky note?

asked on January 26, 2015

I would like to create a token from the text in a sticky note annotation that I can then add to a metadata field. Is there a simple solution that I am missing? The text entered into the sticky note does not show up as document text and is, therefore, unable to be retrieved using the "Retrieve Document Text" workflow tool. This would be very useful as we have associates with Read-Only access sending items to those with full access. The Read-Only users use the Import Agent to send PDFs to Laserfiche folders accessed by full users. I would prefer to turn the sticky note text into metadata than it remain in sticky note format.

Thank you.

Sorry for the late reply. Workflow does not have any built-in activities for reading sticky notes, but you can get the text through scripting.

Late post to this thread; I created a custom workflow activity to retrieve the text from document sticky notes and expose that text as a token for later use in the workflow.  Options include filtering for public and/or protected sticky notes and on any document page range.

Here is a screen shot of the activity;

The activity exposes the text and count of any sticky notes found;

The RetrieveStickyNoteText activity is available at www.qfiche.com  as a free download.  (The download will install a 30-day trial activity.  When you register the activity I will provide a free production key to remove the 30-day limit.)
