Feature Request - Group watermark override

Hi, 

 

I have a few customers that have the advanced audit trail in the police sector. Their main issue with it is that, rather often, they need a copy of a document without the watermark. I know that the group watermark is a control mechanism, and that it's working as designed. They've used different methods for removing the watermark in the past, but they feel that it's really inconvenient and time consuming in order to get this result. I'd like to make a feature request that would introduce a new privilege or check box so that at least a single, trusted user, like ADMIN, could be designated to perform an export or print without any watermark. This setting would remove all watermarks, optional, group/user, tag, or audit trail group from any document that this user chooses to print or export. This has long been a challenge for multiple customers in the law enforcement sector, and it would seem that this could be a possible solution to this point of frustration.

You could create a Business Process that accomplishes this for you. 

 

The workflow behind the BP you create would verify and record the user initiating it (it would show in audit trail) and the BP itself can be opened only to people who are allowed to use it.

 

Then the workflow would move a copy of the document to a location that doesn't have the security  you need. It could also be setup to delete itself some period of time afterwards. If all you are doing is a copy it doesn't affect the original document.

Hi Chris, 

 

Thanks for the help with this, but I'm not sure how this would avoid the group watermark. The system is going to apply this watermark to all documents being exported or printed regardless, and I'm not aware of an activity in workflow that would allow the export of the document anyway. The end goal of this is to get an unblemished copy, with no watermarks or annotations, of the original document out of Laserfiche, and into the hands of an attorney. If this can be done with workflow, can you give more specifics please?

There is no activity included that exports documents but it's easily implemented by script. There's also activities that you can add to your system from people like Cliff Primmer (http://www.qfiche.com)

 

If it's set by group watermark then by the very definition all people in that group have the watermark applied. 

 

So you could use a different login that was not part of any watermark group to do the export with, and use a workflow/bp to make a copy of the document within laserfiche, remove all of the security tags and settings that result in a watermark and place that document at a location that this user not-attached-to a group watermark can then export it from.
