electronic document retention as the original document

we all know about the government requirements to maintain documents if we scan them into the LaserFiche repository at what point can we the destroy the original paper document. I can find retention tables all day long for paper documents but if you convert to an electronic document can you then destroy the paper one?

Province of AB, Electronic Transactions Act, Sec 14(2) "A legal requirement that a person retain an original record is satisfied by the retention of the record in electronic form if there exists a reliable assurance as to the integrity of the information contained in the record."   Further good information is found in Sec 17(1).

LF's Record Series folders for retention purposes can lock down a record, not allowing changes; plus the audit history can prove that no one altered the record.

Also, AB's MGA 2009 Sec 214(1) states, "A council may authorize the destruction of the original bylaws and minutes of council meetings if the originals have been recorded on microfiche or on another system that will enable copies of the originals to be made."

I would also recommend that your current Records Retention Bylaw reflect Council's approval of this type of procedure should you go that way.  Our County is moving towards keeping hard copies of bylaws and minutes etc. still, however, less important documents like correspondence and such will be destroyed after scanning (all outgoing and incoming mail, for instance) after a good long testing period of our new LF repository is over.  We are still in testing mode in LF with one department only and have not brought in all our working documents yet.
