Exchange Appointment recipients

Hi all,

I am creating an exchange item from the workflow with the below information:

  - Type: Appointment

  - Assign to: email1@example.com

  - Required Attendees: Email2@example.com

  - Optional Attendees: Email3@example.com

 

Only Email1@example.com is receiving the appointment.

Why Email2@example.com and Email3@example.com are not receiving anything?

This works as expected based on the definition of appointments in Outlook. You want to create a meeting if multiple people need to be involved.

Does the activity complete or terminate? If you search by activity in the Designer, what does it say in the Messages tab?

Hi Miled,

Creating a meeting type Exchange item with Workflow is not currently available, but we can consider it for a future feature enhancement.

Could you explain the use case for this feature? What process would you like to use it in currently, and what other ways could you see this functionality being beneficial to you? The more information you can provide us the better able we will be to make an informed decision regarding this feature.

below is the current use case we are looking for:

when one of us has a meeting with a customer, he sends a meeting request in outlook to a batch of active directory users for information.

Once the meeting is done, the same employee will update the meeting request with the MOM. That way, all the concerned team members will be notified about the meeting result.

 

What we are looking for in workflow, is an automated way to create this meeting request from the Laserfiche system.

 

same as the above, this goes for any kind of meeting management.

Thanks for expanding on your request. In this scenario it sounds like the meeting invite would be sent out regardless of any calendar conflicts that recipients might have; is that correct? One of the challenges of scheduling meetings automatically is handling event conflicts for every recipient.

In the meantime, you could accomplish a similar goal by creating a shared calendar that is accessible by that batch of active directory users. Workflow could create an appointment on that shared calendar as a single central location. Then, when on of you has a meeting with a customer, you can update that appointment for the rest of the team to see.
