Question

Has anyone done work with W4's and I9's?

asked on November 18, 2014

I was curious if someone had done work with exporting a form to a writable  PDF for HR management.  Any ideas on how this could most easily be done woudl be appreciated.

We have been looking into this for the near future. I believe both W4's and I9's come in a PDF form format that can be downloaded from the feds. You can easily create a Form that would collect all of the information necessary for the two forms and then as Kenneth said, you could use the "Fill Out PDF Form" activity in Workflow to fill out the actual form. The question next becomes the signature. While you can capture a signature in Forms, there is no easy way to then apply it to a PDF form. So... after Workflow fills out the PDF, it could be put into a folder where an HR person could gain access to it and pull it up on an iPad or other touchscreen device and then simply have the employee electronically sign it. Once signed, it could be saved back into Laserfiche and further down a workflow if needed.

Well, you can use a Fillable PDF with Workflow. We have this type of stuff generated during our on-boarding processes. You should be able to find fillable PDF versions of those documents from government websites.

Good Luck with your project.

Kenneth, how do you take care of the signature of the I9?

Print out the I9 and then scan it in. We just print the document out the first day when we also get the other documents scanned in that you need when onboarding an employee
