Couple questions about scanning

Hello,

 

I have a couple questions

 

  1. In Laserfiche 9.2 when scanning a document, is there a way to name the document based on some of the template fields without having to click the arrow > templates and choosing field?
  2. The template we have created requires a date to be put in however when bringing up the scan program there is no little calendar icon that can be clicked and a date then chosen. The date has to be typed in manually. Whereas if you open a document that has already been scanned and check the metadata pane, there is a little calendar icon that can be used instead of typing the date. How do we get the little icon on the scanning page so a date can be selected via a calendar instead of typing?

  1. While you can't get away from using tokens to use metadata to autoname a document for you, you can change the default document name so that you don't have to do it each time. In Scanning, build out your document name using the tokens you want. Then copy the document name. Go back to Laserfiche-> Tools-> Options-> Autoname. Delete what is in the "Default Document Name" field and paste your tokens. Make sure "Scanning a document" is checked in the list below the default document name.
  2. I believe this has been requested before and Laserfiche is aware of it.

Thanks for the reply. I did think about the Autoname feature however, wouldn't that apply to every document scanned? If so the problem would be that not every document scanned will use the same template and will require a different naming convention.If we could have an autoname for each different template that would be good, does this exist?

That does not currently exist in Laserfiche. It is a good feature request though.

It looks like Blake's response was fairly thorough.  With regards to your first question, I think Blake's suggestion is the way to go.  You're right that this is going to use the auto-name for every document that's scanned.  If you're looking for a way to further the automation ability in your scanning process, you may want to use Quick Fields instead of the built-in scanning application.

 

I tested out what you mentioned regarding question 2, and I found that you're totally right.  I'm not sure why the scanning module is behaving this way, but I'll follow up with the developers and hopefully we'll get this fixed in an upcoming version.

Another thought on this.  You can create a "Document Name" field that is applied to every template.  Then use that field to fill in the actual document name.  In the Doc Name field, you could use tokens to create the name from other fields on the template or just leave it blank and let the scanner fill it in at scan time.

If you have Workflow a better solution would be to have a document name field as Bert suggested and scan the document(s) into a processing folder. Once in the folder setup a workflow to automatically name the documents and move them to the appropriate folders. We are currently doing that with certain documents that way the documents are all named correctly as long as the template fields are filled in correctly.

Would someone be able to elaborate on Berts response? I have created a Document Name field, I want this field to get its name from another field called Check Number. My goal is when someone types the Check number in, a token names the Document Name field, and my default document name would be assigned to the Document Name field. 

 

We do not have the Workflows Product.

Justin,

Our records indicate that you should be licensed for Workflow. Do you mean you just don't have it configured?

Correct, Workflows was purchased originally, but we did not purchase training on workflows at the time. We were told in order to configure workflows we had to purchase training. But the cost couldn't be funded this year for training.
