Creating Folders/Folder in QF 9

asked on November 5, 2014

We have been utilizing QF 9 in my department since approximately March of this.  Prior to that, everything was being scanned through LF.  Now, we are getting ready to scan some medical term employee folders.  My problem is this:  This particular folder in LF is set up as folder (medical), folder (year), folder (employee no.)Please see attached snip-it.  Everything else I have scanned through QF 9.was the document which went directly to one folder: LF client folder, (workman comp), folder (year).  When I scanned the documents through QF, they went directly to the year I set the folder path in QF.

Is it possible to have QF "create" an employee folder, then the document will be saved through it?  Or, will I have to go into the LF client and create each folder by employee no. so when I scanned the documents they go into "their" folder?

If you have that information at scan time, either as a field value or from running a process on a page or looking it up in an external database, Quick Fields can create the subfolders. You can use tokens to specify the path and Quick Fields will replace the values when the document is sent to Laserfiche.

Okay I thought I could use tokens.  Would use in folder path correct?  I do have information at scan time.  We do not have an external database set up (yet). Thanks Miruna.   Going to give it a try.  Will let you know it works or doesn't. smiley

Please see attached.  I made the folder path with token in QF.  Sent to LF client.  Great it worked!  Subfolders in my folder.  But, when I opened up the subfolder I created to insert a piece of paper that was not picked up during scan time in QF, it wouldn't let me save it.  Got an "orange" error (see pic in LF revision pane).  What is happening?  Why?

BUT . . . when I logged off on the computer with QF and another scanner operator logged on, she was able to insert the paper in the LF client.  I am going to have her scan something into this new QF session under her profile.  Then have her try to edit (insert) a piece of paper into the document and see if it happens to her.

This session was created under my user. Any suggestions what may have happened?

There should be a matching red exclamation mark in the properties pane on the right. Maybe you have a required field that's not filled in?

Miruna,  See attached.  There is no matching red exclamation mark in the properties pane.  This is happening when I try to insert a page into the document through the LF client.  Now, these folder/documents were created through quick fields.  This is where I went into QF to make a token to create a sub folder in the folder path.  Please see previous posts (snip its).

I am trying to insert a page through the LF client because the page was missed during original scanning through QF.  I noticed you can rescan a page in QF but you can't insert a missing page there.

Note:  When another scanner operator opened the LF client to insert the same page in the same folder/document, it worked for her.  Hmm.  Suggestions? Thanks
