Question

Applying Tags

asked on November 5, 2014

Can you secure a user from applying tags to a folder yet still allow them to apply a tag to a document?

Thanks,
Cathy

Sure it's possible, by setting the "Write Metadata" access rights on the folder structure appropriately. You will need to ensure that the user does not have write metadata rights to the folder structure (perhaps by creating a rule with "This folder and subfolders" scope somewhere in your repository tree). If possible, try to find a way to configure this by removing Allow rights rather than adding Deny (you will need to take into account any group memberships for this user). Finally, you can then set up an Allow rule with scope of "Documents only" on some folder to restore the rights for documents.

Note this will remove all metadata editing rights (templates, fields, tags, etc...)

Thanks Scott, just to clarify when you stated "this will remove all metadata editing rights..." were you referring to just to the folder or to the documents as well?

I just meant that the "Write Metadata" right controls access to all of those pieces of metadata. You can't pick and choose, for instance, so that you could edit the fields but not the tags. They are both tied to that one right, and it's all or nothing. You can still set up the metadata rights however you choose, so that the users have access to documents but not folders.
