Question

I would like to remove any tags upon document deletion

asked on November 3, 2014

My users are unable to see documents they have deleted due to security tags applied to them. I have verified this by removing security tags prior to deletion, they are able to view these documents in recycle bin. I want to create a workflow that will remove any tags on a document when it is deleted so that users are then able to restore documents they did not intend to delete. I created a workflow to remove tags with the On document delete starting rule. Deleting a document triggers the rule, but I receive an error message - "Entry Not Found (9001)" for the Remove Tags activity.

Hi Kathy,

Are users assigned the security tag directly or are they getting it through group inheritance? Prior to Laserfiche 9.2, there was an issue where if a user only got the security tag through group inheritance (meaning the security tag is assigned to a group that the user is a member of) then when they deleted a document that had the security tag, they wouldn't be able to see it in the recycle bin.

This issue is fixed in Laserfiche 9.2. However, if you can't upgrade yet, then a workaround would be to assign the security tag to the user directly.

Also, Workflow isn't going to be able to access any entry which has been deleted, even if it's only going to the recycle bin. If you wanted to remove the tags automatically , you'd have to create a business process which your users could run from the client which first removed the security tags and then deleted the entry.
