Need help troubleshooting effective rights Laserfiche/Workflow 8.3

After supervisor and HR approval, timesheets are filed into the record series and access rights assigned.  The effective rights of owner of the timesheet (initiator) do not allow the owner to view his/her own time sheet.  Workflow assigns the rights but are different when checking effective rights (see attached).  This one has me stumped.

It looks like you've got inheritance unchecked so I don't think parent rights would be relevant. You mention RM, which adds two possibilities.

First, what is the status of the Record Folder? The effective rights view takes EVERYTHING into account (not just the entry access rights) and certain RF states will restrict certain rights.

Second, are you looking at the shortcut for a document, or the document itself? Entry access rights on shortcuts are a bit different, since only 5 rights apply: Browse, Rename, Delete, Read and Write Entry Security. That might explain why Read doesn't show.

 

Added: Also check for the presence of security tags.

Whether the record folder was closed, cutoff, etc... If you are actively bringing documents into it though, that's likely not what's going on.

Is the initiator set as the entry owner? That automatically grants browse, read entry security, write entry security. So does having the 'manage entry access' privilege.

What are the rights of the folders above it? If the initiator (or a group they are in) is denied browse rights in a scope which will apply to this folder then their effective rights will not give them access, even if their personal access rights at the level do.

You are correct, it is not inheriting. I am unsure what you mean by "status of the record folder".  Please explain further. These happen to be permanent records with no disposition scheduled (if that helps answer your question).  The record series holds all the users actual timesheet documents in one folder, the workflow files it there and sends the initiator a shortcut to their own personnel folder.  What's bugging me more than the inability to set the read right is the addition of the two other settings for read and write entry security.  Also there are no security tags involved.

Not sure what happened to my replies here, They are missing.  I will attempt to recreate it. You are correct, no inheritance checked in that record series.  Status of folder is active, disposition is permanent.  The workflow moves the actual document to the record series and creates a shortcut to it in the initiator's personnel folder.  Timesheets for all staff are in one folder (for the year) and we are trying to give shortcut access to only the initiators own files.  I think Justin mentioned the rights set by the initiator, but I do not know how to change them.  The staff member scans in their timesheet and puts it in a special folder where the workflow takes over.
