Question

SHORTCUT SEARCH setting for WF

asked on October 6, 2014

How do you allow WF to search for shortcuts fields value? If WF looks for the entry name it will find the shortcut, but it does not return any result if looking for a field value.

This question was asked in the past but never answered.

Thank you and regards,

Vincenzo.

Shortcuts are simply shortcuts. They do not contain unique information separate from the document it is a shortcut of. If you want it in workflow to get the field values, you will need to tell it to resolve the shortcut so you are dealing with the actual entry instead of a shortcut to it.

I take it you're asking how to get shortcuts returned when you run a field search in combination with a path search? That's not currently possible in Workflow.

I would like to make this a feature request for Workflow. In my situation, I am trying to selectively delete shortcuts based on their path rather than use the "Delete Shortcuts" activity which deletes all shortcuts.

I'm curious why Workflow can't resolve shortcuts. I would expect it to be able to perform all of the advanced search syntax as the Client.

This feature was not added to Workflow because calculating security for all paths for possibly thousands of search results is somewhat expensive on the Laserfiche Server and it does slow down searches.

It was our understanding that most of the time, the shortcut being deleted was created by the same workflow, so there would already be a reference to it from the activity that created it. In the rest of the use cases, the Retrieve Shortcuts activity is available to find all shortcuts for a given document. This activity can be used in conjunction with a For Each Entry activity to check the paths and delete an individual shortcut.

Has this feature been added in newer versions yet?
