Question

Access Rights descriptions and examples

asked on September 16, 2014

First post...sorry if this is a common question, but I can't find what I'm looking for...

Is there a guide to access rights with verbose descriptions and examples out there? Or a guide to setting up access rights using groups based on departments and roles (scanner operator as opposed to administrator) with examples?

As an example, I'm trying to find out what "Modify Contents" actually means...can I copy a document out of a folder that I have "Modify Contents" access rights for? I seems pretty impossible that I'm supposed to figure all this out by trial and error...

I want to set up access rights with best practices, my repository is a mess, and people and departments just keep pouring in. This is becoming unmanageable, and my laserfiche vendor hasn't been able to answer these questions.

Hi Sean,

Here are a few resources that may be helpful to you:

    1.  An article in the solutions exchange that covers best practices for Laserfiche security

  1. Definitions for Entry Access Rights
  2. Tips for creating an organized repository

In general, when setting access rights, always do so for groups rather than for individuals. This will cut down on the number of clicks as well as provide an organized structure for your Laserfiche security. Also, do not ever deny access to a user or a group, only allow or don’t allow access. This will prevent users from encountering issues when they are a part of multiple groups.

You might also consider enrolling in the Admin I course. This course will equip you to elegantly manage your Laserfiche users and repository.

Thank you Chris and Kathryn. This guide to entry access rights definitions is exactly what I was looking for. I'm amazed I couldn't find that, and after searching again with better keywords, found it immediately.

I have a feeling I will be back with questions about AD group syncronization and how those groups work with Laserfiche groups, but that is a question for another post.

Thanks again!

Hi Sean,

Security is always a headwrecker when dealing with large implementations and can be difficult to manage if it's not right from the outset. Best way to think of access rights is it works pretty much the same as windows folder security but with some extras (tags). Ideally your VAR should be the first place your would turn for specific questions. I would also recommend looking into doing the Laserfiche CPP on security if you are unsure. They can be very helpful.

For a description of entry access rights please look here.

(Hyperlink thing on here isn't working at the moment for some reason)

Hope this helps Sean! laughyes
