Audit trail event information

Hi,

 

Below are the events that we are auditing and recycle bin is disabled. 

 

 

I noticed that the following events are blank:

  1. Delete Alternate E-File
  2. Delete E-File
  3. Purge E-File
  4. Recycle E-File
  5. Restore E-File
  6. Write Alternate E-File
  7. Write E-File Contents
  8. Delete Pages
  9. Restore Page

 

Can anybody provide explanations of the events and why are they blank?

Assuming that you're asking about why certain types of events are not present in your audit logs, without knowing the details of your setup I can only speculate as to why that might happen.  You can find short descriptions of the event types in the Admin Guide: http://www.laserfiche.com/support/webhelp/laserfiche/9.1/en-us/adminguide/LFAdmin.htm#Audit_Event_Descriptions.htm, but I'll also give a short explanation:

 

Any "Purge", "Recycle", or "Restore" event will be related to the recycle bin, so if you have it disabled it's not surprising that you don't see any.

 

"Write E-File Contents" records modification of the electronic file portion of a document.  If all of your documents are scanned pages, or the electronic files are PDFs or some other format that is not commonly modified, that might be why you don't see any of those.  "Delete E-File" refers to the deletion of the electronic file portion of the document without deleting the document itself; it's not something that necessarily happens often ("Recycle E-File", "Purge E-File", and "Restore E-File" are all related to this same operation, but are only relevant if the recycle bin is enabled).

 

"Delete Pages", similarly, only happens when an individual page or pages are deleted from a document.  "Restore Page" would require individual pages to have been recycled.

 

Finally, "Write Alternate E-File" and "Delete Alternate E-File" should never show up unless you have some kind of integration or other application using the SDK that is making use of alternate e-files.  To my knowledge, no Laserfiche software does anything with them at this time.

I've enabled recycle bin and disabled permanent delete for the client and now I can have data in Recycle E-File report but do not get any data in Restore E-file report when I restore the document back.

 

I have a few questions regarding same:

 

  1. What types of documents are considered as E-File in laserfiche?
  2. What is the purpose of Restore E-file report?
  3. What is the difference between Restore E-file and Restore Entry Report?

"e-file" stands for electronic documents. When you delete just the electronic component of a document (by going into the Tasks menu in the Client and selecting Delete Electronic File), a "recycle e-file" event should be generated. If you restore that electronic document, a "restore e-file" event would be generated. If you delete the entire document, then restore it from the recycle bin, then you would see a "restore entry" event. See the help file for event descriptions.

All this means is that you are able to force users to pick a reason before doing any of those actions.  For example, if you set a reason of "Document is past life cycle" for Delete Entry, then anytime someone deletes a document, they will be forced to choose a reason in order for the deletion to happen and this would appear in the Audit Logs.
