Feature Request: AdHoc Re-Assign Step

asked on August 29, 2014 Show version history

I have been trying to figure out the best way in Forms to re-assign an instance's step to another user. I know we can create timers on a user task and after so long have it escalate, but my concern comes in about how to handle it when an employee is no longer with the organization? For all future submissions, I can simply change the user task to the new user, but what about those that were already assigned to that user that left? We don't want to have to wait for the timer to have it escalated. We would like a way for an admin to go in and simply re-assign all instances that are at a current step to another user so they can start processing them.

If there are other ideas of how this can be accomplished I am open to hearing them. If not, please take this into consideration for a future feature.

The Forms team are aware of the feature request and it's been pretty high in our backlog. We plan to support it after 9.2 release.

I agree!  I am in the same boat as Blake and find it would be nice to let the forms admin have the ability to continue a process or redirect it.

Thanks for the feature request!

As a work around for now, you could have one administrative Forms account (or more than one) that is set as a secondary user for all user tasks in Forms.

When doing this, whichever of the assigned users that completes the task first will move the process forward. In this way, you'll be able to go in as this user and take action on a user task if the normal user cannot/does not take action.

The work around is OK, except for the fact that it will send an email to that user for every task. The users inbox will fill up really fast.

Yes, an email will be sent to all users if task notification is turned on. If you can use a dedicated Forms admin account you can then configure a separate email address for that user, but I recognize that this takes up another user license.
