Import Agent Schedule

The "Schedule" options for an Import Agent profile works differently from what I was expecting or read in the Quick start guide.

 

Consider this scenario: An Import Agent profile is set to retrieve files from 09:00 AM - 10:00 AM on Mondays. The watch folder has 1000 files.

 

I was expecting: Import Agent retrieves and Imports as many files as it can within the time frame but stops Importing files when it's 10:00 AM. So, if IA has imported 800 of the 1000 files at 10:00 AM, it stops further processing

 

What I observed: Import Agent retrieves all files present in the watched folder in the interval (09:00 AM - 10:00 AM) and continues the import process beyond 10:00 AM if the files were added to the watch folder before 10:00. So, IA, in this scenario continues beyond 10:00 AM until all 1000 files have been imported.

 

What the Quick guide says: Schedule: Define when Import Agent should attempt to retrieve and import files. Scheduling a time interval allows you to reduce network usage during peak hours.

 

Is this how Import Agent works or is there something I've configured incorrectly. We have a number of customers that would like to perform Bulk Imports outside office hours and the scheduling option would have been ideal for them. However, given how we've observed its functioning, it does not provide any benefit and actually holds up the smaller scans performed during office hours because the Bulk scans haven't completed. it is doing everything correctly from what i can tell. It's just retrieving a list of the documents to import up until the time you configured, but its taking longer than that to finish processing those documents.

Thanks Kenneth. That ".. its taking longer than that to finish processing those documents." is the part we're having an issue with, particularly when there are a lot of documents to Import.

 

Basically, we have a Bulk import of 1GB+ of images to scan that we want to be performed after hours. There are also smaller scans that users scan from a multi-function device during office hours that should show up within a reasonable time (within minutes). Presently, creating separate profiles and schedules for Bulk Imports does not seem provide a solution for this. Can you think of another way to  do this?

First, you definitely need to separate the bulk processing from the ones running from the scans from the scanner. You will simply not be able to accomplish that in one profile.

 

I wonder if scheduling the service to restart right after the time period for processing the documents in bulk ends, if that will cause the unprocessed documents to wait till the next day and only the new schedules running during business hours are going to run.

Hello Kenneth

 We have separate profiles for bulk processing and one off scans.

 

 Restarting service after the bulk processing end time works but it presently has to be done manually (there is no built-in option for scheduling a restart of either the Import Agent Windows service or within the Import Agent application). I could use the Task Scheduler and write a batch script to do a restart. That looks like the only option available. Thanks for your response. I'll keep this open for a day or two to see if there are other options.

We didn't take the scripting route since the Import had completed by then but I'm sure the link you provided will work since we have developed similar scripts at other implementations.
