Question

Sort pdf pages into different folders

asked on August 20, 2014

I have a pdf document that contains billing information for several departments and each department has a different account number. I want to sort the document into different folders based on the account numbers.

So far I have imported the pdf document, but I'm not sure how to proceed since I'm new to LaserFiche.

Thanks!

Laserfiche doesn't have any built-in processes for directly splitting up PDFs. However, one option is to use Quick Fields. It has the ability to process the PDF and generate image pages for the corresponding PDF pages. Then you can process the image pages, splitting them up into the different documents based on the account number and store them accordingly.

Sounds like a great use of Quick Fields.

Or, you could use Distributed Clustering to OCR the PDF. Then you use workflow to retrieve that searchable text, use pattern matching to find the pattern you identify as indicating the account number, then move that page to a new document, and/or move a shortcut to the appropriate location.

You can also add in a step to add access rights and stuff like that, but this is a rough idea of how i would try doing it.

EDIT: Moving specific pages will require a tiff version of the PDF to be generated. You may want to use Import agent or Quick Fields to do this automatically.

If you do not have Quick Fields, you can still accomplish this task of generating pages by routing the PDF to a user that will know to generate pages for the PDF and then indicate in metadata or with a tag that they have completed that task so that workflow knows to continue onward with the idea that I laid out above
