deleting fields from records

Using WF I am trying to do is delete any reference to the 'old' template and it's fields it contains. It is for our Sex Offender Registration. Their template field names all start with Sheriff_SOR_Name. I am using WF to capture the current information into tokens, then deleting the template, finally storing the tokens into the new field names that are non descriptive called Sheriff_Name, etc.

 

When my tag to seal a document is used it successfuly moves the documents to the sealed volume, however it does not tag the metadata. So folks can see that it was an SOR incident. We need it to be non-descriptive.  In 20 years from now if someone did a public records request and someone sealed their records.... we need to make sure no one sees what type of crime it was unless they unsealed the record.

 

I tried putting spaces in the field values under Edit Field Values in the Remvove Current Template.... but it gives me the red ! saying I have an error. I don't want to copy to token and then delete the entry....

 

The only thing I can think of is to rename the SOR template instead of of trying to transfer information.  However, we dont' have that many 'sealments' for this type of document.  Thoughts?

Thank you for your reply.  I went into LF Admin and gave the drop down list a blank field.  I then came back into LF WF and changed the field value to equal the blank and the red ! went away.  I will do more testing to verify all is working well.

 

The sealments fit into this because we get court orders to seal a document.  We want to keep it in the same records management retention folder so we elected to leave it where it is, but migrate the images to a volume no one has rights too.  And then this tag is the 'mover' so to speak.

Hey Bonnie,

 

If you hover over the red exclamation point in Workflow, what is the full error?  

 

It sounds like this should be pretty straight-forward.  You need a Retrieve Field Values (RFV) activity, followed by an Assign Field Values (AFV) activity.  The RFV activity will grab the existing field values and store them as tokens.  The AFV activity will assign a new template and then you can use the tokens from the RFV activity to fill out the new template.

 

I'm not too sure exactly how the sealments fit into all this, but if that's part of the issue, please provide a bit more information on how you're using these tags and I'll be happy to see what other help I can offer.
