Question

Forms and deadlines to user tasks. How do I configure Workflow to send the deadline emails with Forms links?

asked on July 28, 2014

So I understand that until Forms 9.2 that I cannot apply any kind of deadline and alternate path for Forms processes within forms?

I am looking to use Workflow to create this function then but here is my question:

How can I have Workflow generate a deadline email that includes the Forms link to the Form for a "secondary" user that would take the Forms process if the primary user didn't get to the job in time?

Is it possible or how else can I use Workflow to effectively create this Deadline function for user steps in Forms?

You should be able to use timers on a user task. If you right click a user task there is an option to "Attach timer event". You can then create a path of what happens when that task is not completed by the time the timer is set. See the following documentation underneath the section called "Using intermediate timer events for exception handling on an activity".

I should expand my question so if there's a better way of accomplishing this you can point that out to me.

1. The process needs an approval from a primary person (Person A). They get assigned the task first every time.

2. If they don't get to it in 1 hour Person B needs to get an approval request.

3. If Person B doesn't do anything in 1 hour then Person C gets the notification.

4. Ditto for Person D after another hour.

Could I do this with an Inclusive Gateway and just put timers in front of the Person B, C, and D tasks?

What happens if Person A completes their task before any of the timers expire and we end the process? Is there a way to ignore or kill those other task paths?

In other words is there a way to do this within Forms or am I right to need Workflow?
