Question

Same Form Reviewed Twice

asked on July 24, 2014

Hello,

We have a form that has two sections, the top section is reviewed and approved first.  The bottom section is then sent through the exact same approval process.  We would like the second time the form is reviewed to have the top section information that has been entered appear as read only.  The originator just enters the bottom information.  While we know how to make the information transfer to the second form and appear read only, we don't know how to restart the same process with a different form.  Is there anyway to do this without copying the entire process and having a gateway at the beginning with conditions for which form is being used?  The process is very lengthy and would not like to recreate if possible.  Thanks!

what you do is copy the form so now you have two forms in the process. Assign the second form to the second review, and change the fields to "read-only" that will make the fields have the values of the variables from the previous form, but also allow you to selectively make fields read-only

Ken's approach is one easy way to accomplish this. After copying the form you can add in any additional fields that the second user should fill out but that the first shouldn't see. Values from the original form will be passed into the corresponding fields on this secondary form, as these fields share the same variable. Then, as Ken mentioned, you can selectively mark some fields as read-only and leave others as fillable.

If you prefer to re-create the form but still pass values from the first form to the second, you can also start by creating a new form and drag the fields from the original form onto it using the "Variables" option.

Any field that could hold a value on the first form will be available in that list, and the values from the first form in the process will be passed along.
