Question

Users not able to pull up the latest version of an excel spreadsheet

asked on July 15, 2014

We have a user that has LF 9.1. They have an excel spreadsheet that they update regularly. We use version control to not lose any data and to keep track of changes.

We are running into an issue where a select few are pulling up an out-of-date version, while the rest are able to pull up the most up-to-date version.

The users must pull the most up-to-date through version history. I did know in LF 8.1 you were able to set a preference by checking off "display the latest version" under the options menu in LF. However, it looks like it is defaulted already to open up with the latest version.

Trying to find out what the issue may be.

This issue was related to the user's workstation having multiple copies of the electronic document saved under C:\Users\[username]\AppData\Local\Temp. The resolution was to delete those multiple copies. As for preventing this issue from occurring again, make sure the user chooses the option to delete the temp copy of the electronic document after finishing working with it.

Where is the option to delete the temp copy?  Can you provide a screenshot?  I'm not seeing it.  Thanks!

Hi Mason,

You will probably find that the reason some users are getting a different version that others is because some users still have the document open somewhere else or are making changes whilst other users are trying to access the same document.

Try getting the users to 'checkout' the document whilst making the changes and checking it back in once they have finished. See if the problem goes away and at least this way it might point you in the right direction.

Hope this helps!

(On a side note I don't think versioning in 8.1 was quite the same. Document versioning (with version history etc.) came along in LF 8.3.x onwards).

Hi Chris,

They are using the checkout option for the document. They make sure that they check in the document to include the options. Users are able to open the document. However, some users open a previous version, while others open up the most up to date. Both users do not have the document open. As well, both users did not edit the document.

Hi Mason,

I've seen strange issues like this before. Try saving the excel sheet as a new document (rather than a new version) and try to reproduce the behavior on the newly created document (which you can then place under version control and test).

If it's specific to that 1 document then it seems the issue may reside with the document rather than LF.

Good Luck!
