Why an entry get locked and how to avoid it?

 Hi all,

 

I have a Laserfiche workflow and one of the activities is to link to entries. What i have done is "Search the Repository", and then "For Each Entry" => "Create Link"=> "Assign Field Values".

The workflow seems to work fine when there are just a couple of files to be linked. The problem is when this entry needs to be linked with more than 500 entries. The user receives an error message "Entry Locked", the activity "For each Entry" gets stuck in that iteration and the workflow does not continue. All the entries get locked by the same user, even is the user logs out from Laserfiche.

The only way I found to fix it is by going to the Admin Console, see the first entry that is locked and release its lock. The workflow continues and the entries get linked.

 

My questions are: Why this is happening and if there is a way to avoid this issue from happening again?

 

Is it that the server does not have enough resources or a problem with the Workflow itself? 

 

Attached are the server specs. It is also running SQL Server.

Laserfiche 9.0.2

Workflow Designer 9.0.2

 

I would appreciate any suggestions,

What user is the workflow running as? Admin?

Hi Chris,

Admin is the user that runs the workflows.

 

I have attached the part of the workflow where it gets stuck. It's in Assign Field Values 3.

If Assign Field Values is the activity that runs into the Entry Locked error, then you have something else that's locking the document before or almost at the same time this activity gets to it. You'll want to look at what other workflows you have running on that entry at around the same time or any other user activity that might be happening on the entry (from integrations or users).

Hi Andres,

 

I agree with Miruna here.. There has to be something else happening to the document in order for it to be locked prior to this workflow wanting to access it. When you released the document lock in the admin console, did you note which user had locked the document? That may help point you in the right direction smiley

Andres,

 

Workflow runaway *may* cause your problem in case of ill-defined starting rules. Have you checked for multiple workflow instances running against the locked document? If so, review your starting rule strategy to prevent runaways.

Have a look at your starting rules. Maybe screen shot them and upload to here if possible?

Hi all,

 

Thanks for your responses. Based on your suggestions, I am performing some testings.

Apparently, it does not happen all the time. I will get back to you as soon as I find out what can be causing this issue.
