There is no specific template available for documenting file plans and workflows as they can vary based on the client's requirements. It is best to ask what information the client would like to document and start from there. A few ideas are:
- File plan
- Records Management - active records, cut off instructions, retention schedules
- What information is stored within the folders?
- Access rights - who has access to the information, what type of access (read/write/export etc.), who owns the folder.
- Workflows
- How the workflow being triggered - starting conditions, schedules
- What is the purpose of the workflow
- Describing what each activity in the workflow is doing. Examples:
- Email activity - email to notify Manager that there is a purchase order that costs more than $1000
- Wait conditions - wait for Manager to update the Decision field to "Approve"
- Business processes - who can trigger the business process
