Workflow-Change Status when document is entered.

 Ill start by describing our current workflow.

We are a construction company, so we have always kept a file folder for each job(average about 150 projects per month).

When we create a new job,we take the first document/documents (usually an emailed pdf) and upon entering into laserfiche, workflow will create a folder, name it(based on date) and place that document inside the newly created folder. Whenever we get additional documents related to that job, we simply drop the document into an "incoming" folder which brings up the template, and then enter the job number ( the date based name workflow assigned) in the proper field and select the document type from a dropdown and workflow will route the document to the correct folder and then assign all the metadata contained on the job file to the document. We have it set so that metadata can only be changed on the file level and not the documents in the file.

Now to my issue..

I am trying to build a business process related to my engineering drawings. What I want to do is start the business process and first step will be changing my "Engineering status" to "In Progress" (so no-one else will start it) and then once the drawing is uploaded I would like it to email that document and change that same status to "Sent".

A)-I cant get it to change the status because I cant get it to look for the new document because i think it is looking at the folder name.

B)- I cant get the email attachment to work either. It keeps converting it to a laserfiche link.

Im very new at this, so if you want screen shots of other stuff, let me know.

Hi Richard,

 

Point B is easily achievable through the Advanced Email Workflow settings, and clicking Attachment button. Make sure you have selected "Attach copy of the document" in the Document Properties instead of "Attach the shortcut (lfe)".

 

Can you please clarify whether Point A trying to change the file's Status or Folder's Status. If its file's status, depending on the template you assign it the workflow can be triggered on the same file. If it's folder level change, then it requires fetch the Parent folder of the file's current location and change the field value accordingly.
