Merging Forms

Is there a way to merge forms in Laserfiche forms during the process?

 

In Laserfiche Forms, I have a process in which the starting form is partially filled out. The submission of that form triggers 3 things to happen simultaneously: 1) an email is sent requesting information that's needed for the rest of the form, 2) the form is routed to the person who will be collecting the information to complete the form, which allows the data to be entered as soon as it's been gathered, and 3) it routes a different form that has the same fields as the starting form plus many other fields to someone who will fill in all of the fields. When the fields are complete, that form is routed sequentially to several approvers.

 

I'd like to create a process that waits for the form in which data was requested and the form that's gone through the approval process to both be complete and then to merge the 2 forms into one for final signoff.

 

I don't see a way to do this right now. Any ideas? Thanks!

You should be able to accomplish this currently in Forms. You would have the initial starting form with it's fields. You would setup your process with 1 Email Task, and 2 User Tasks. You would then route the initial starting form to the user in step 2. For step 3 you would create a new form within the same process that includes all of the fields from the initial form and then add any additional fields you need. In the Process Modeler you would then assign that form to the user in step 3.

 

You can have all of those happening at the same time by using a Parallel Gateway. Then have them merge together using a Parallel Gateway as well. Once they all finish, the next step after the merge would be the final User Task for there final sign off. For that, you would create another form within the same process that includes all of the fields you need from the 2 previous forms.

Does that mean that the final signoff person doesn't get his/her form until the users in steps 2 and 3 submit their forms? Putting the second parallel gateway in doesn't continue the process until all the events that feed into it are complete?

That is correct. The signoff person in the example above would not receive their form until the first 3 steps have completed.

 

"When a parallel gateway merges several process flows into one, it waits for each incoming path to reach the gateway. Once each incoming path has reached the gateway, its outflow path will be taken."
