Import Agent Issue

Hello….

I am having some struggles with this Import Agent .lst file.  Human Resources has a document for each employee and wants each document placed in the employee’s folder. 

The path is \HR EE Active Employee\ Newman Alfred E 0123\Employee File\Appointment Letter\****

(**** will be the fiscal year....see below in IA Import directive)

FOLDERS(HR EE Active Employee)   <<<<< This is a record Series folder.

FOLDERS(Newman Alfred E 0123)    <<<<< The employee folder

FOLDERS(2014)   <<<<<<<<<<<<<<<<<< ****  Fiscal Year folder to be created by Import Agent

DOCUMENT(Newman Alfred E 0123 IRS Letter)

In this scenario, the folder     2014   is the only folder that IA has to create.

 

Here’s the problem….instead of using the existing employee folder structure, Import Agent builds the following structure and places the document in

\HR EE Active Employee (2)\ Newman Alfred E 0123\Employee File\Appointment Letter\2014

 

HR EE Active Employee (2)         

            +Newman Alfred E 0123

                        +Employee File

                                    +Appointment Letter

                                                2014

 

Of course, the newly created HR EE Active Employee (2) is not a Record Series folder.  This behavior is contrary to my experience with Import Agent.

 

This is my first attempt to use Import Agent with a Record Series folder….I've searched the forum and looked at a wad of help files/tech papers trying to find a possible reason for this behavior.  I have not found any documentation that says that IA cannot work with Record Series folders or that special considerations must be made for RS folders...(so I’m guessing it’s okay).

 

LF Server v9.0.2 build 671 and LF Import Agent v8.1.1.357

The service account used by Import Agent is in the HR-Admin group with full rights.

The .lst file format is pretty legacy and doesn't necessarily know what to do with some scenarios that are newer than it. We're actually coming out with a new version of Import Agent in the next couple weeks that will support a newer xml based list format that has much better support for current functionality. So it might be best to just look to that.

 

That said, does your record series have a code value? I'd try experimenting with both leaving that in or out of the folder name and see if that makes a difference (as a prefix so code space name).

Hi Justin...

Thank you for your quick response and please forgive my late one.  Yesterday, I was placed on a jury panel....today I'm on the jury....it's a criminal case that will take a couple more days to complete.

Not that I mind serving....just a message to let you know that I will not be able to work with this again for a couple of weeks at least...(I'll be on vacation...perhaps the new version of IA will be out by the time I get back).

 

When I return, I'll probably just fiddle around with your suggestion...by the way, the only code value that I've found for this series is 5      .....just 5  

So according to your example (as a prefix so code space name) I'll try

FOLDERS(5 HR EE Active Employee)

So, I found this old post while researching basically the same problem Dennis had in 2014.  Except that I am using Import Agent with the XML format, and I'm seeing the same problem.  I have a Record Series at the root named "HRC Doc" (Code=HRC Name=Doc).  I have attempted to use Import Agent ingesting an XML file to add docs to this Record Series, but the end result is that there are new folders created "HCR Doc (2)", "HRC Doc (3)", etc.

 

I also tried the trick you suggested of specifying only the Code (in my case, 'HRC'), or only the Name (in my case 'Doc'), but neither of these worked.

I am attaching my import xml file (to which I had to append .txt to allow it to upload).

I'm beginning to think that it isn't possible to use Import Agent to import to Record Series.

Did you check the security on these folders? Is it possible that the user specified in Import Agent does not have rights to see these folders or write to them?

I have just now triple-checked the security.  In fact, I added the IA Username to the system-admin group for my test, and I have the same results.
