Question

Looking for a good product to use for backing up and archiving Laserfiche records.

asked on June 5, 2014

I have a every-growing Laserfiche environment and need to find a product and/or method of backing up both SQL laserfiche database and the associated laserfiche files at the same point in time.   I currently use a product called Unitrends but it can't satisfy my need.  We are a government entity and have records retention laws that we must abide by, so I need a backup solution for recovery and archive solution for retention.

First, if you don't already have it, I'd recommend upgrading to Laserfiche Records Management Edition. It's got great tools for managing retention in a way that complies with your local regulations.

What is it about your current product that isn't meeting your needs? You can easily get a bunch of software recommendations, but it may be useful to work through your specific requirements.

Unitrends can only run one backup at a time which can be problematic when trying to keep Laserfiche images and metadata in-sync.  It also takes an enormous amount of time to fully backup all of the images and I am wondering if there are any better solutions.  Unitrends is a hardware and software based storage platform that allows you to backup to storage arrays and then archive to alternate units.

Would it be possible to split off archival volumes from your main volumes? You can push static data that is only needed for retention purposes into another volume. Then, since that volume isn't going to be as actively used, you can back it up on a different schedule than your main volumes.

Devin, thats a good thought when it comes to splitting up items to be archived and those items that are active.  We deal with over 100,000  cases a year and those cases can go for many years.  I do need to method of flaging records based on if case has been closed and if it's no longer needed. I also have times when the case get's purged totally.

That's why I brought up RME. It has tools for closing, freezing, cutting off a document, and tracking it's eligibility for destruction. You could tie a workflow to the event of a document getting cut off and migrate it to an archive volume.

Yeah, my concern would be cost of RME. We currently have Rio.  I am already spending an enormous amount of money on support for Rio.  I will have to check into it.

Eric, I to have a Unitrends backup solution and am concerned with syncing the database and volumes. Did you ever find a solution or backup scheme that fit your needs?

Well, we didn't really find a good backup solution. However, we are doing Windows 2012 R2 Datacenter - DFS replication of all LF VOLUMES to offsite location, as well as doing frrequent SQL 2014 database backups. DFS is working well, the only issue will be to make sure the SEARCH8 index files is not in any of  DFS volumes being replicated or the replication will be incomplete due to index always being accessed and open.

Hope this helps...
