Question

Custom Forms Notifications

asked on April 4, 2014 Show version history

We are trying to setup custom notifications using the business process variables for a customer.  However, we have configured the desired variables in the Notification section of the User Task.  We have not changed the default email template because it will not be the same for all business processes.  However, regardless of how we have things configured in the User Task Notification section, the email generated uses the default template and does not contain any variables.

They are using forms 9.1.1 with Direct Approval.

We have over 20 processes setup. Each one has multiple User Tasks with custom notifications for each one. We have not touched the Email Template in the Forms Config.

Update: I copied and pasted the information that we had set up in the User Task Notification to the Email Template settings, this generated an email with the desired variables.  Is this the proper behavior, one email template for all business processes?  What is the purpose of have the screen to enter custom email notifications in the User Task, Notification section?

I wonder if it is a bug with Direct Approval. We have User Tasks setup that do not use Direct Approval and the notifications work correctly.

Thanks for your response, Blake. For testing, I've actually unchecked the Allow Direct Approval.  However, the only way to get the custom notification is to change the Email Template.  Did you change your Email Template?  Do you have multiple business processes running?

Interesting.  I guess we must be missing a configuration step somewhere.  I'll keep looking.  Thanks for the information!

The default template should not affect any user task notification that is already saved in the process. After you modify the notification, can you refresh and open it again, does the notification get updated?

Thanks for your reply, Lena.  After successfully creating a test business process with a custom notification configured in a User Task.  I realized that the issue was specific to the business process.  I deleted the User Task and re-created it. This has fixed the issue.

Thanks for the help, everyone.
