How to transfer links to Weblink

How do you automatically transfer links when brief-casing documents from the inside (company only) repository to the public repository?

Yes, you are correct: moving the documents in different briefcases will not preserve the link.

 

To sure you are getting both documents at once, you could perform a combined search like a Link search for the document relationships and a Created search to retrieve recently added document.

 

If you need to move the documents over separately, you could ensure that you have identifying metadata (like a document type field and an ordinance number) and use Workflow's Create Link activity to recreate the link once both documents are present.

 

Alternatively, as Brian mentioned it may be a viable solution to only keep one repository and just make use of Laserfiche security to determine what documents are displayed in WebLink.

Can you explain for about what you are trying to do?  Are the links hyperlinks from other html pages, or are we talking about document links within your Laserfiche repository?

I am talking about document links within the Laserfiche repository. The Ketchikan Gateway Borough currently has two repositories: an inside repository(only employees can see) and an outside repository (for the public). When I brief-case document from the inside repository to the outside it does not carry over the document links. For example, when we first scan resolutions and ordinances, we scan them to the inside repository.We create links between other resolutions and ordinances, but when I brief-case the documents to the outside repository, they do not appear which causes us to re-link each time. I hope that makes sense.

I am able to export and then import documents using briefcases while preserving links in LF 9.1 I do the following:

  • Create a document link between two documents
  • Export the documents in a briefcase
  • Import the briefcase into a different repository

The links are successfully maintained, even if that link type does not yet exist in the second repository.

 

What version are you using? Are you exporting the documents in the same briefcase?

 

EDIT: Brian made a very good point about the import: if the link type does not yet exist, the importing use would need permissions to create the link in admin console for the import to preserver the links. Make sure that the user you are importing as has those permissions, or that the link type already exists in the repository.

If the link type doesn't already exist in the destination repository, the importing user needs to have permission to create it.

All that said, you can avoid all this copying by having WebLink connect to your internal repository.  You can use Laserfiche security to control what is visible to external users.

Brianna, thanks for the reply. I am currently using Laserfiche 9.0 and most of the time we are exporting the documents in different briefcases, but it sounds like the link won't carry over if the documents are brief-cased separately.
