Question

Version Details prompt - How to remove?

asked on February 28, 2014

Hello,

I don't have version control enabled on the folder or the document but every time I  make a change I get this prompt. Version Details - Proposal 2 Version Comment:

Does anyone know how to prevent this when I do not want to comment on versions or keep versions at all?

Basically version control is already enabled on that document and you can't disable it.

See this help page for more information. It states

Note: Once version control has been enabled for a document, it cannot be disabled.

If you don't want new documents placed into the folder to be put under version control, then view the properties of the folder and make sure "Automatically place new documents under version control" is unchecked.

If you view the metadata for the document and look under the Versions tab, can you confirm that it says "Version tracking has not been enabled on this document."

What type of edit are you performing on the document exactly?

I don't see that it says that anywhere on the versions tab. The folder I am adding the documents to does not have version tracking enabled and the version tracking options under tasks when I select the document are disabled.

Does your version tab for the document in question look like this then?

Note that a document that doesn't have version tracking enabled would look like the following:

It is like the first image, with lots of versions. I am not sure how to stop it, I really don't need version control for these folders. The only changes are signatures.

After you make sure to uncheck "automatically place new documents under version control" to prevent future documents from unwanted versioning, there is a workaround for the fact that you cannot disable version tracking on documents that are already versioned: if you make a copy of the document, version tracking will not be enabled on the copy.

Ok, I verified that is not checked. Not sure why it is putting all my documents under version control. I did find that Disable Version Tracking = False under repository options in the administration console. I don't know how to change repository options though, they are not something you can edit.

  1. How are the documents being created?
  2. What has been done to the document by the time you view its metadata and see that it has been placed under version control?
  3. Can you confirm that the document isn't being processed in some way that would be putting it under version control?
  4. Is the document initially being created in a different folder that might have the option to place all newly created documents under version control?

I am dragging PDF forms directly into the folder.

The document is simply being signed, so it is being updated and saved with the signature. I just don't want to create new versions when the document is saved so that when it is being signed the prompt does not appear.

Just signing a document wouldn't place a document under version control. I suspect that there may be some other processing going on that isn't obvious and is somehow placing the documents under version control. Regardless, you may want to open a support case so further investigation can be done.

You can also check the version history in the metadata to see who created version 1 and when it was created. That may help you track down what's going on.

Agree, version control is not reversible on documents. Try this......

Use Laserfiche Client - Tools - Options - New Documents - Name Conflicts, to see if that helps.

Since no one addressed it, I also wanted to speak to the question about repository options. The initial list under Repository Options\Settings is simply a display list. To modify the options you can double click on any of the items, or right-click and select properties, and you will go to the dialog that allows you to modify them. The Version Tracking option is under the 'General' tab in that dialog. Note that you will need the 'Manage Repository Configuration' privilege to modify the settings. More information about that specific option can be found here: http://www.laserfiche.com/support/webhelp/Laserfiche/9.1/en-US/AdminGuide/LFAdmin.htm#Version_Tracking.htm

So far here is what I found. The PDF is not under version control when it is imported. After the first time it is modified it goes under version control.

EDIT: It appears that only signing the document causes it to go under version control.

I think it's best to continue this question through Support. Some of what you are describing isn't how the functionality is supposed to work, so I think at this point Support just needs to take a look at your specific scenario and see if there's something else going on here.
