Question

Is there any way, in Laserfiche, to tell that a document has been sent to DocuSign for signature?

asked on February 27, 2014

We have a process where a specific document type is stored to Laserfiche, then someone else performs a search to locate those new documents and send them to DocuSign for signature.

I'm trying to craft a search to only return documents that have not yet been sent to DocuSign.  I have a DocuSign Status field for when a document is 'signed', 'declined', or 'voided'.  I can add 'sent' as an option, but the user would have to manually update the field after they send it.  I'm hoping to either have a workflow perform this, or ideally, have the DocuSign Integration (Laserfiche Web Service) receive an "Envelope Created" message from DocuSign that would update Laserfiche.

Has anyone else dealt with this?

Hi there,

I know this reply may be a little late, however, perhaps this may help someone in the future learning about the Laserfiche and DocuSign integration.

I came across this post whilst recently researching about and testing the DocuSign integration and with some help from others have been advised that you can use <OnSentEvent> to pass metadata values to Laserfiche when a DocuSign envelop is sent. This feature requires Web Import Services 9.0.2.755 or later - you can check the following hotfix to determine whether you are utilising a previous version.

For example, when I add below node to the config.xml file of DocuSignConnectService, field “DocuSign Envelop Status” will be marked as “Sent” when a document is sent to DocuSign.
Then Laserfiche repository users can identify these documents easily then by using columns views \ field search.

Hope it helps.

Tim

Currently, the only events supported by the Laserfiche DocuSign Integration are Completed (everyone has signed, the OnSignedEvent in the config file), Declined, and Voided. However, DocuSign itself does also have the ability to send notifications upon Sent, Delivered, and Signed, so I have filed an enhancement request.

Brianna,

Thanks for the response.  Having the additional status updates that DocuSign provides enbaled in the interface would be appreciated.

I was hoping since the start of the process is Laserfiche sending the document to DocuSign, that "send" event would show up somewhere in a Laserfiche audit or event log. Someplace I could query to update the Metadata for the document until the interface enhancements are made available.

Thanks again,

Greg

Hi Greg,

Sending to DocuSign is considered exporting by Auditing, so you could set up Auditing on export with a reason "Sending to DocuSign" or something similar to distinguish export from sending to DocuSign. After the user clicks "Request Signature", the audit reason prompt will appear. Note that this will mean users will also have to give an audit reason when exporting.
