Question

How can I link the instance ID- url in the Service Task Email

asked on February 17, 2014

Hi,

Is anybody already tried to link the instance ID URl of the form in the Service Task Email activity in the Process Modeller. I had try to insert the Instance ID in the email notification in the activity however I just only seen the instance number and not the full URL. All I ever wanted is to notify the next person who will approved the form by email and send a link on that running form. Hope somebody can help.

Thanks

Cherry

If you are notifying someone of a pending task, you should use a user task and enable notifications. The task participant should already have an email address associated with their Forms account, so you don't need to worry about entering an email address for them. This is the simplest way, and it ensures that the email contains a link directly to the task in Forms.

If the task should be dynamically assigned based on a field value, you can accomplish this, since the Assign to field accepts variables (just make sure they are properly formatted user names).

Hi Cherry,

BP variable '/dataset/_instance_id' is just a number instead of a URL link. Instead of using email service task, you may need to use UserTask and enable 'email notification'. The email sent to approvers by UserTask contains the approval url link. Even you could check 'Allow direct approval' to enable email approval.

Tnx,

Is there any way we can generate these links (the ones that lead directly to the submission) via Workflow using the submission and instance ID?  Thanks!
