Question

Is there a way in forms to have one user fill out part of the form, and then another user complete another part?

asked on February 10, 2014

We have a client that is wanting to take a form that is in process between several managers who fill out the information, and change to another one of the managers in the process without having to restart the form and have it go to the new manager.

So Manager A will start the form and fill out the information that they do, and then pass it on to Manager B who will fill out their part of information, and then send it to Manager C to complete the form. Is this possible to do without having to restart the form to pass it to the next manager in the chain?

They also want to be able to change who Manager B is in the middle of the process. Their other question is then if the forms still sitting in the original Manager B's queue stay there? Will the new ones coming from Manager A go to the new Manager B?

Any suggestions or information would be appreciated.

Thanks,

Cody

The part about different people filling different parts of the form is possible, as Blake said. What is not possible is changing who Manager B is in the middle of the process. Manager B himself/herself could do it, but not anyone else.

That said, this may not be an issue, because Forms has the ability to dynamically route forms to the correct person based on the information entered on the form. For example, you could map out your process such that if the information entered by the first user matches a certain condition, it is sent to Bob. Otherwise, it is sent to Lisa. In addition, you can set it up such that if Bob does not respond within a given time window, it automatically routes to Lisa, and so on.

Depending on the context, these features might satisfy your needs. Feel free to elaborate more though and we will try to help!

The short answer is yes. You would create a Business Process in Forms that would include the workflow steps for where it goes depending on what decisions are made by the user it is currently assigned to. You can then create multiple forms (a different view) for each manager. So if one user only needs to review the information, but should not be able to change it, that is possible. On each form you can also decide what form fields should display to each manager.
