Question

How do I include PDF form field data in text generation?

asked on January 29, 2014

I am using QF to bring PDF Forms into Laserfiche, opting to generate text including field information. This works great.  However, if the PDF is edited from within LF, the generate text does not include the data in the fields.  Is there a solution for this so that the text associated with the PDFs will be current once a pdf form electronic doc is edited and saved from within LF?

The text generation tools available in the Laserfiche client are unable to read text in a fillable PDF’s alterable fields. Even so, you should be able to keep up-to-date text associated with your fillable PDFs! You’ll want to go into your New Document settings and make sure they look like this:

Specifically, check that your client is set to generate searchable text, generate Laserfiche pages, and retain the original PDF files when importing a PDF document.

Then, go into your Generate Text node and open up the Advanced Setting for PDFs. From there, select “use an alternative method to generate text” and “OCR existing pages”.

With these settings, the fillable PDFs that you save back into the repository (either as new versions of existing documents or as new documents) will have a TIFF image associated with them. The OCR engine will then be able to read all of the text off of the image file, while you still have the electronic document available to you to continue working with.

I hope this helps! Let us know if you have any further questions.
