Creating folder shortcuts

 In our file tree structure we have the need to cross reference folders within our Repository because our users look for folders by specific names.  An example of this is if a building is renamed, there will be many user who will still look for the old name of the building.  

 

We currently use client 8.3

 

We do enter historical names into the metadata fields.  But our standard users are not the ones who would run a search to find the information.  Currently our solution is to have an empty folder with the name a user would look for and include "(see *new name of building*)" in the folder name.  We would love to have a folder shortcut where we could exclude the cross reference and just have the folder open to the current one.  I've played around with this but noticed that the shortcut does not appear in the file tree structure pane, which is how our users general navigate.  Typically, if one of our users does not see what they are looking for right away we will get a phone call from them wondering where something is located.  This is a very common occurrence and we would like to minimize the need for our users to call.

 

Does anyone have suggestions on how to address this or possibly better ways to work with it?

Hi Aileen!

 

After right-clicking on a folder and copying it, you can then "Paste Shortcut" to create a shortcut for the folder.  So in your scenario, you would:

 

  • Change the name of the folder to the new Building Name
  • Right-click, then copy
  • Go to the root folder and right-click on it
  • Click Paste Shortcut and rename it to the old Building Name

 

One caveat (which it sounds like you've noted) is that the shortcut folder will not appear in the Folder Pane (on the left), but only in the Contents Pane (on the right).  That being the case, you could use a combination method, creating a folder with the old Building name, with the only contents being a folder shortcut to the folder with the new Building name. I hope this is helpful!
