Question

Workflow - Fill Out PDF with Laserfiche Forms Data

asked on January 27, 2014

Afternoon Folks,

At Empower 2014, I saw a few presentations where workflow was used to fill out a PDF using data from Laserfiche Forms. I was hoping that someone would be able to share a screen-shot of their workflow.

Additional Background:

- We need to achieve a standard look and feel of the documents within our system. We want to use the data collected by Laserfiche Forms to fill out our standard PDF.

Thanks in advance!

The easiest way to build the process would be to use Forms 9.1 to assign the forms' field values to Laserfiche metadata fields and to save the form to the Laserfiche repository. A workflow would start when the form is saved to the repository and would get the Laserfiche metadata and fill out a PDF form with it:

If you are running a previous version of Forms, you will need to use the Retrieve Laserfiche Forms Content activity in Workflow. First have Forms save the form to your repository. Then use Workflow's Retrieve Laserfiche Form Content activity and Fill Out PDF Form activity to bring the form's field values into a PDF form. This solution exchange article details a similar process.

Hi Doug,

The process that Sarah laid out is definitely the easiest way to go about this, and I strongly recommend going that way.  In the event that you're using Forms 9.0 and are unable to upgrade, you may want to check out this Solution Exchange article that lays out how this process was achieved at another organization.

I just built a Workflow and use retrieve form data to send to a PDF and save the fill-able PDF to Laserfiche. The option worked the same as retrieve field values, except i did not have to have a template in Laserfiche.

We have 300+ forms that are mostly PDF forms, and I really don't want to have to recreate them as LF Forms just for collecting data that is going to be put back into the PDF Form to standardize their look.

We currently use built-in PDF form functionality to email the form to specific email address as an attachment.  The email server has has some 3rd party software watching that inbox, that saves the attachment to a network folder which Import Agent then picks up, moves into the repository and the related workflow kicks off.

We're going to be losing our internal email server to move to MS 365, so we'll also lose the software that monitors the server and saves the attachments for Import Agent.

We were looking at LF Forms as an option, but I'm not looking forward to recreating all of our forms.

Is LF Forms our best option or is there something else that would do what we need?

Thanks!
